Job Description

SUMMARY

The Receptionist/First Impressions focuses on answering and directing a high volume of inbound calls. The Receptionist/First Impressions is often the client’s first point of contact within the facility and must answer each and every call with the highest level of professionalism and courtesy. The Receptionist/First Impressions must be a friendly, enthusiastic, dependable, and a self-motivated team player with outstanding communication skills, a positive attitude, and an excellent work ethic.

 

DUTIES AND RESPONSIBILITIES

  • Demonstrating proficiency of the BDC and Dealer phone system
  • Answering each call with a professional greeting consistently
  • Ensuring that all calls presented are answered promptly and professionally
  • Ability to handle a high volume of inbound phone calls with the highest level of professionalism
  • Following the BDC scripts and guidelines on all inbound and outbound calls
  • Developing proficiency with all features of the Dealer and BDC CRM software
  • Ensuring that all information entered into Dealer and BDC software is consistent and accurate
  • Maintaining a current knowledge of coupons, direct mail pieces, and advertising
  • Developing a thorough understanding of and demonstrating adherence to the BDC and Dealer policies and procedures
  • Maintaining the essential communication link between the client and dealer
  • Ensuring that all communication is reached to and from the client and to and from the dealer
  • Demonstrating the ability to interact effectively with dealer personnel at all levels
  • Ensuring that all messages are delivered immediately
  • Ensuring that all showroom guests are attended to in a timely fashion
  • Distributing mail and completing necessary duties required in a timely manner
  • Maintaining a professional code of conduct and a positive attitude at all times
  • Maintains strict confidentiality of confidential personal information of our customers in compliance with the Federal Trade Commission Safeguards Rule, implementing the provisions of the Gramm-Leach-Bliley Act as they pertain to automobile dealerships.
  • Performs other duties as assigned  

Job Requirements

QUALIFICATIONS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. EDUCATION and/or EXPERIENCE

High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience.  Will be trained on computer systems.  Ability to work well with customers.

Mastering all training materials provided by UDC, including scripts and PowerTracks™.  Computer skills/knowledge and 10-key experience required.  Will be trained on dealership computer systems.

 

LANGUAGE SKILLS

Ability to read and comprehend simple instructions, short correspondence, and memos.  Ability to write simple correspondence.  Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.  Ability to communicate customers' interests, needs, and request to management and sales personnel.

 

REASONING ABILITY

Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions.  Ability to deal with problems involving a few concrete variables in standardized situations.

Will perform most of shift at a desk in an office setting.  Professional personal appearance.
